01Who we are
PlayLog is a web app for people who play sport together in regular groups. It is operated by To confirmlegal name of the business that runs PlayLog (“PlayLog”, “we”, “us”), which decides how and why your personal data is processed and is responsible for it as the Data Fiduciary under the Digital Personal Data Protection Act, 2023.
This policy covers the website at playlog.in and the PlayLog app at dash.playlog.in. It explains what we collect, why, who can see it, who we share it with, how long we keep it and the rights you have. Please read it with our Terms and Conditions.
02Information we collect
Your account
- Your email address, name and username.
- Your password. It is stored only as a secure hash by our sign-in provider, and we never see it.
- If you continue with Google: the name, email address and profile photo from your Google account.
- Phone number: PlayLog doesn’t ask for one when you sign up. If a mobile number is linked to your account, a person who enters that exact number can find you to invite you to a team.
Your profile and settings
- Your profile photo — one you upload, a built-in picture, or your Google photo.
- A UPI ID, only if you choose to add one, so teammates know where to pay you.
- The date you joined, and when you were last active — updated about every 45 seconds while the app is open, to show you as online or “last seen”.
- Your Settings choices, such as theme, alert switches, currency and default split.
What you and your teams record
- Teams: name, description, sport, photo, members, invitations and join requests. When an organiser invites someone by username or mobile number, we keep what they entered.
- Matches: sport, date, time, duration, venue, court location, costs, who played and for how long, and each player’s share.
- Money records: shares marked paid or pending and who marked them, team expenses, prepaid court packages, player wallet entries and notes.
- Matches your team posts to Nearby matches, and requests to join a match, including any note added to them.
- Messages, “Seen” receipts and in-app notifications.
- Who you support (follow) and who supports you.
- Photos uploaded for a profile or a team.
Information about other people
Organisers can add guest players by name — people without a PlayLog account — and record matches, shares and payments for their teammates. If you add information about someone else, make sure they’re happy for you to do so. Don’t add a child as a guest player without the permission of their parent or guardian.
Location
- Court locations saved with a match or posted to Nearby matches.
- Your device’s location only when you choose to use it: to set a court’s location while you’re standing at it (it is then saved as the court location), or to search Nearby matches around you. A Nearby search location is used for that search and isn’t stored.
- PlayLog never tracks your location in the background.
Premium payments
Premium payments are processed by Razorpay. Your card number, UPI PIN and bank details are entered with Razorpay and never reach PlayLog. We receive and keep your Razorpay subscription and payment IDs, amounts, payment status, billing dates and, if you cancel, the date your paid Premium period ends. We also keep the payment notifications Razorpay sends us, which can include the email address and phone number you gave at checkout.
Technical and security information
- Technical logs kept by our hosting and database providers when you use PlayLog, including IP addresses.
- Short-lived counters that stop spam and abuse, such as how many invitations or messages an account has sent recently. These are kept for about two days.
What we don’t collect
- PlayLog has no advertising, analytics or tracking scripts, on the website or in the app.
- The website playlog.in has no sign-in and no forms. Apart from our hosting provider’s technical logs, the only thing it keeps is your light or dark theme choice, in your own browser.
03How we use your information
We use personal data only to provide and protect PlayLog:
- to create and secure your account and sign you in;
- to run your teams, matches, cost splits and payment records, and show them to the people they’re shared with;
- to show dashboards, analytics and exports;
- to deliver messages and in-app notifications, and to run Nearby matches;
- to sell, renew, cancel and support Premium, and keep billing records;
- to send account emails, such as email confirmation and password-reset links;
- to answer your requests for help;
- to keep PlayLog secure, prevent spam and abuse, and fix problems;
- to meet our legal obligations, such as tax and accounting rules, and respond to lawful requests from authorities.
We don’t sell your personal data, show advertising, or share your data with anyone for their marketing.
We process your personal data with your consent — which you give when you create an account and agree to this policy — and, where the law allows processing without consent, for legitimate uses such as complying with a legal obligation. Where we rely on consent, you can withdraw it at any time (see Your rights).
04Who can see your information
| Who | What they can see |
|---|---|
| Only you | Your email address, notifications, Settings choices, and your subscription and billing history. |
| Members of your teams | Your profile — including your UPI ID, if you’ve added one, and when you were last active — and the team’s matches, payments, expenses, packages and wallets. |
| People you message | That conversation, including “Seen” receipts. |
| Any signed-in PlayLog user | Your profile card: name, username, photo, the date you joined, online or last-seen status, number of matches played, most-played sport, and who you support and who supports you. It never shows your teams, money or venues. They can also find you in search by the start of your username, or by your exact mobile number if one is linked to your account, and see matches your team posts publicly. |
| Anyone with a team’s invite link | That team’s name, sport, description and member count. |
| Anyone with the link to an uploaded photo | That photo. Uploaded profile and team photos are stored at public web addresses so the app can show them. |
A match your team posts to Nearby matches shows the team’s name and photo, sport, date and time, duration, court and its location on a map, and how many players are needed. It stays visible until the match starts, and the owner can edit it or take it down at any time.
05Service providers and sharing
We use a small number of service providers to run PlayLog. They process data on our behalf for the purposes below, and each receives only what it needs.
| Provider | What it does for PlayLog |
|---|---|
| Supabase | Database, sign-in (including Sign in with Google), server functions and live updates. Stores your account and PlayLog data, and sends account emails such as email confirmation and password-reset links. |
| Cloudflare | Serves playlog.in and dash.playlog.in, and stores uploaded profile and team photos. |
| Razorpay | Processes Premium payments, recurring payment mandates (UPI AutoPay or card) and refunds, and emails payment receipts. |
| Sign in with Google, if you use it. Google Maps for court map previews, links and directions. The app’s fonts are loaded from Google Fonts. Loading a map or the fonts shares your IP address with Google. | |
| OpenFreeMap | Map tiles, from OpenStreetMap data, for the map you use to drop a court pin. |
When you choose to share an invitation to WhatsApp, or pay a teammate with Pay via UPI, the details are handed to that app on your device, and its own terms and privacy policy apply.
Some of these providers may store or process data outside India. Any such transfer is made in line with Indian law.
We may also disclose personal data where the law requires it — for example, to comply with a court order or a lawful request from a government authority — or where it is necessary to prevent fraud or protect the safety of our users. If PlayLog is reorganised, merged or sold, personal data may pass to the new operator, who will remain bound by this policy.
07How long we keep data
- Account, profile, messages and notifications: for as long as your account exists.
- Team data: until the team is deleted. Deleting a team permanently removes everything in it. When a member is removed from a team, their past matches and payments stay on the team’s record.
- Payment records: undoing a payment marks it as undone rather than erasing it, so the history stays accurate.
- Subscription and billing records: for as long as we need them to provide Premium, and for the period required by tax and accounting law.
- Uploaded photos: replacing a photo overwrites it; removing it deletes it.
- Anti-spam counters: about two days.
- Technical logs: for the periods set by our hosting and database providers.
We may keep data for longer where the law requires it, or where it is needed to resolve a dispute or enforce our terms.
08How we protect your data
- Every connection to playlog.in and dash.playlog.in uses HTTPS, with strict browser security headers.
- Passwords are handled by our sign-in provider and stored only as secure hashes.
- Access rules are enforced by the database itself: only a team’s members can read its data, and only its owner can change payment status.
- Card, UPI and bank details are handled by Razorpay. Payment notifications from Razorpay are verified with a cryptographic signature before PlayLog acts on them.
- Uploaded photos are checked to be real images, and messaging, invitations, search and uploads are rate-limited.
No system is perfectly secure. If a personal data breach affects you, we will inform you and the authorities as the law requires.
PlayLog will never ask for your password, card number, CVV, UPI PIN or OTP.
09Your rights and choices
Under Indian law, including the Digital Personal Data Protection Act, 2023, you can ask us to:
- Give you access to a summary of the personal data we hold about you, how we use it, and who we have shared it with.
- Correct, complete or update your personal data. You can change your name, username, UPI ID and photo yourself in Settings at any time. The email you sign in with can’t be changed in the app yet — ask us.
- Erase your personal data, unless we have to keep it to comply with the law.
- Withdraw your consent at any time. This doesn’t affect processing that has already happened, and since PlayLog can’t run an account without the data it needs, withdrawing consent means closing your account.
- Resolve a grievance about how we handle your data, and, if you aren’t satisfied with our response, complain to the Data Protection Board of India.
- Nominate someone to exercise these rights for you in the event of your death or incapacity.
Download your data
Your matches, payments and wallet statements can be exported from the app as Excel or PDF files, and a team’s owner can export a full copy of the team.
Delete your account
Deleting an account isn’t available inside the app yet. Email To confirmsupport email address from the address you sign in with. To confirmhow long account deletion takes, and what happens to records shared with a team
A team’s owner can delete the team in the app at any time, after being offered a full export first.
Making a request
Email To confirmsupport email address from the address on your PlayLog account, so we can confirm the request is yours. We’ll respond within the time the law allows.
10Children
PlayLog is meant for people aged 18 and over, and you must be 18 or older to create an account. If you’re a parent or guardian and believe your child has created an account or been added to PlayLog, contact us and we’ll delete their information.
11Changes to this policy
We’ll update this policy when PlayLog changes how it handles personal data, and change the date at the top of the page. If a change is significant, we’ll let you know — for example, with a notice in the app — before it takes effect.
12Contact and grievances
For questions, requests or complaints about your personal data:
- Email: To confirmsupport email address
- Grievance Officer: To confirmGrievance Officer's name, To confirmGrievance Officer's email
- Post: To confirmlegal name of the business that runs PlayLog, To confirmregistered postal address
We will acknowledge and resolve grievances within the time limits set by applicable law. If you aren’t satisfied with our response, you can complain to the Data Protection Board of India. For help with your account or a payment, see Contact and Support.
